Finally Done Studio
Operations cleanup

Your back office has a punch list. We close it out.

We're a two-person remote studio that fixes the messy middle of any business that needs it. In two weeks we sort the inbox, the calendar, the client files and the handoffs, and leave you with one simple system you can run yourself.

Sample punch list
Week 2 of 2
  • Inbox sorted, with rules that keep it sorted
  • One calendar, one booking link
  • Client files in one home, one naming rule
  • Intake form feeds the tracker automatically
  • Handoff training with the teamUp next
Any business, any industry. If this sounds familiar:
  • The inbox never gets to zero
  • Scheduling takes five emails
  • Files live in six places
  • Every new client starts from scratch
  • The whole process lives in your head
What we fix

The work behind the work.

You're good at what you sell. The trouble is everything around it: where things live, who does what next, and what falls through. That's the part we rebuild.

Inbox

Folders, filters and reply templates, so mail sorts itself and the common answers take a minute instead of ten.

Calendar and booking

One calendar and one booking link, with buffers and reminders built in. No more back-and-forth to find a time.

Client files

Everything in one home with one naming rule, so anyone on the team can find anything without asking you.

Intake and onboarding

A single form and a short checklist that start every new client the same way, every time.

Project tracking

One dashboard for who is doing what and what's due, built the way job sites track work: scoped, scheduled, closed out.

Light automation

When a form comes in, the folder, the tracker row and the reminder create themselves. Built by an engineer, kept simple on purpose.

We build in tools you probably already pay for, such as Google Workspace, Notion, Calendly and Airtable. No new subscriptions unless you want them.

Beyond the back office

Social content systems.

Get more from your social content by putting a system behind it. Built by a communications strategist, so it sounds like you.

  • One content calendar for posts, emails and announcements
  • Reusable post templates, so nothing starts from a blank page
  • A simple routine for who drafts, who approves and when it goes out

Who we are

One of us works out how your business runs. The other builds it.

We're partners based in Chicago, working remotely with businesses anywhere. Between us we have more than 20 years of experience across communications, software and construction. Most cleanup projects fail because the system is clever and nobody uses it. We cover both halves.

Giselle

Strategy and systems

Giselle comes from strategic communications and advocacy, where she built the systems that keep campaigns, teams and messages moving. She maps how your business really works and makes sure the new system is one your people will use.

Josh

Engineering and build

Josh is a software engineer with a mechanical engineering degree and a past life in construction project management. He builds the system, connects the tools, and runs your project like a job site.

Questions

What people ask first.

Do we have to buy new software?

Usually not. We build in what you already have and only suggest something new when it clearly earns its cost.

How much of our time does it take?

A few hours across the two weeks: a kickoff call, a mid-point check and the handoff training. We do the rest.

Who sees our client information?

Only the two of us. We sign a confidentiality agreement before we open anything, and we work inside your accounts so nothing leaves them.

What happens after the two weeks?

You own the system and the guide, and we answer questions about it for 30 days. After that, the Upkeep plan keeps us on call.
